Overview

The Lead MA is responsible for assisting department management in coordination of patient care and clinic operations to include, but not limited to:  being the primary Super User directly responsible for assisting providers and clinic staff with immediate EHR concerns,  assists providers and clinic staff with outstanding tasks for patient centered quality care, and is a line of contact between clinic staff and department management  in giving detailed clinical operations reports regarding clinic staff and provider’s concerns to implement quality improvement measures.

Responsibilities

Lead Medical Assistant

 

  • Take medical histories and record vital signs
  • Perform Urodynamic Testing on patients
  • Authorizes drug refills as directed and telephone prescriptions to a pharmacy
  • Obtains fetal heart tones and measurements under supervision of RN/LPN
  • Changes dressings on wounds
  • Monitors inventory of all devices
  • Works closely with office manager to order all birth control devices for Norfolk office and monitors inventory
  • Work closely with billing department for authorizations of birth control devices
  • Work closely with residents to coordinate postpartum contraception
  • Monitors samples from drug reps
  • Assists with scheduling conflicts
  • Provides education during the “birth control consult” visits under the supervision of NP and RN
  • Assists with Pessery placement and teaching
  • Organizes and manages medicine closet
  • Collaborates with the department team leader in maintaining a smooth clinic work flow.
  • Monitors and inventories supplies for clinic and reports to the appropriate supervisor
  • Is one of the designated E.H.R. Super Users for all providers and staff in clinic
  • Coordinates morning and afternoon team huddles for daily clinic operations
  • Oversees throughout the clinic that all documents requiring processing are completed
  • Responsible for specific team training of all new clinic staff (patient triage, tasks, paperwork and workflows)
  • Attends Clinic staff meetings, Department meetings, Provider meetings and applicable Grand Rounds
  • Assists with development and recommends new work flows
  • Provides daily end-of-shift (AM/PM) report to the department management as necessary.

 

Lead M.A. also functions as an M.A. with the below listed responsibilities:

 

Medical Assistant Essential Duties And Responsibilities

  • Explain treatments and procedures to patients
  • Prepares patients for examination
  • Assists the physician during examination
  • Collect and prepare laboratory specimen
  • Dispose of containment supplies and sterilize medical instruments
  • Instruct patients about medication and special diets
  • Prepares and administers medications as directed by a physician
  • Reconciles allergy lists, medication lists, and smoking status of patient.
  • Chaperons when appropriate and assists during colposcopies and minor procedures
  • Maintains clean, well-equipped examination rooms and cleans and sterilizes instruments
  • Prepares exam and treatment rooms with necessary instruments
  • Assists with scheduling of tests and ultrasound
  • Stocks examination rooms, triage area, and work station with medical supplies for designated team
  • Opens all OB charts and prepares charts for day of clinic
  • Receives and completes assigned tasks from providers
  • Performs phone triage with supervision of LPN/RN, completes team tasks, paperwork and faxes as needed.

 

Scan upcoming appointments for additional medical record information necessary.  Obtain medical records from other physician offices, hospitals, labs, emergency rooms, and radiology prior to patient visit.

 

Participate in all staff meetings, education lectures and quality improvement activities.

 

Follow EVMS protocols related to infection control, environmental safety and patient confidentiality.  Complete annual recertification for Blood Borne Pathogens, HIPAA Compliance Training, Respiratory FIT and IT Policy.  Maintain current CPR certification and any updates relating to M.A. Certification.

 

Perform other duties as assigned.

Qualifications

High school diploma plus successful completion of a Medical Assistant program and certification (RMA or CMA). Equivalent military training accepted. At least two (2) years of medical assisting experience. Completion of BLS class and re-certify every 2 years. Supervisory experience preferred.

 

Ability to balance multiple priorities and tasks.

Ability to make professional nursing decisions under the supervision of the physicians and licensed nurses. Possess professional interaction skills with physicians, outside offices, pharmacies, referring agencies, hospital personnel and support staff.
