Overview

Responsible for front and back office procedures to include answering and triaging  phone calls, scheduling appointments, checking-in & out patients, collecting payments, obtaining insurance authorizations and assisting physicians and non-physician providers (NPP) with patient care to include medical triage, charting, procedures, and stocking supplies.

Responsibilities

Back Office Duties:

  • Performs phone triage, responding to questions from patients, family members, faculty/residents, other healthcare providers, pharmacies, and insurance companies in a timely and professional manner.  Document all patient correspondence and attempts in EHR
  • Triage all incoming patients by taking vital signs such as height, weight, temperature, blood pressure, reconciling medications, reconciling allergies, updating pharmacy, and all other pertinent Meaningful Use objectives (smoking status, race, ethnicity, language), and accurately recording in electronic health record.
  • Scan upcoming appointments for additional medical record information necessary.  Obtain medical records from other physician offices, hospitals, labs, emergency rooms, and radiology prior to patient visit.
  • Chaperon and assists physicians and NPP with examinations, to include minor surgeries (excisions), minor procedures (biopsies), and treatments (injections, light therapy) as requested.
  • Complete order entry in EHR per department protocols and physicians instructions to include: education/instructions, referrals, follow up appointments, labs, radiology, & ultrasound. 
  • Complete all “tasks” assigned in individual and team boxes.  To include: personal task box, Medical Assistance task box, FMH-Clinical task box, Clinical Orders task box.   
  • Prepare lab requisition forms, updates lab log book, and verifies receipt of all labs in appropriate time frame as directed by department protocol. 
  • Scans all pertinent patient information into EHR following EVMS MG guidelines, and downloads pictures and attaches to patient record.
  • Responsible for entering patient information into iPledge.
  • Maintains clean, well-equipped examination rooms, cleans and sterilizes instruments.
  • Stock examination rooms and triage area with medical supplies, ensuring all supplies are within expiration date.

 

Front Office Duties:

  • Answer incoming telephone calls per EVMS Medial Group standard.  Responsible for answering inquiries, documenting messages in the EHR, triaging calls, and notifying doctors/nurses when appropriate.
  • Places reminder and confirmation phone calls to patients and documents outcome in IDX.  
  • Accurately schedules dermatology patient appointments, in accordance with provider specific templates and protocols. Enters office and surgical appointments directly into Centricity/IDX.
  • Greets patients in a patient-centered courteous manner, arrive patients in the practice management software system, collects copay/payment as appropriate and notifies nurses/medical assistants/MDs of patient arrivals via EHR.
  • Check-in and check-out dermatology patients, obtain and scan referrals, insurance cards and patient IDs.
  • Maintains patient accounts by obtaining co-payments, self-pay, and cosmetic fees at the time of service and recording payments in IDX
  • Prepares daily batched in accordance with EVMS Medical Group cash handling policy and sends to EVMS Medical Group for deposit.
  • Checks and answers tasks that are directly assigned to include: personal folder, Derm Reception folder, Derm Print Documents, DERM Schedule Team, FMH Admin, DERM Medical Assistants.
  • Responsible for obtaining referrals for patients through insurance and referring physicians’ offices.  Retrieves authorization from insurance carrier for procedures and office visits if applicable.
  • Reviews and verifies insurance benefits for patient appointments.  Notifies receptionist of payments due at time of services to include previous unpaid balances, co-payments, self-pay.
  • Works monthly collections roster. Calling patients for small balance payments prior to sending account to collection.
  • Sends reminder notices/termination notices and new patient packets per department policy.
  • Ensures that all patients are invited and/or registered with FollowMyHealth® and receive clinical summaries in accordance with CMS guidelines.   
  • Participate in all staff meetings, education lectures and PCMH/QI improvement activities, and required training provided by EVMS and EVMS MG.
  • Follow EVMS protocols related to infection control, environmental safety and patient confidentiality.  Complete annual recertification for Blood Borne Pathogens, HIPAA Compliance Training, Respiratory FIT and IT Policy. 
  • Performs other duties as assigned

Qualifications

Completion of a Medical Assistant program and certification (RMA, CMA, or CDT). Equivalent military training accepted. At least one (1) year of experience in an ambulatory setting required; dermatology experience performing relevant procedures and functions preferred. 

Completion of BLS class and re-certify every 2 years.

 

Copy of active certification is required upon application submission. Documentation must include your name, certification number, and expiration date. Any submission received without certification or any submission received with expired certification is incomplete and will not be considered.
