Overview

Responsible for day-to-day operations of the Vice President/Dean’s Office of the School of Health Professions.  Assists the Dean and Department Administrator in activities related to administration and operation of large an academic health care organization with 15+ Masters level education programs. Must be confident and self-directed with a track record of meticulous attention to detail.  

Responsibilities

  • Provide administrative support to Vice President and Dean and other members of the Department. 
  • Create and complete international, confidential and other correspondence; proof and type manuscripts; transcribe dictation; create and edit presentations in PowerPoint; sort incoming mail and distribute as needed; maintain files
  • Maintain Vice President and Dean’ schedule, coordinate and schedule meetings locally, nationally, and internationally; including arranging air and ground transportation, hotel accommodations, and various other aspects of travel for visitors
  • Add and updates Vice President and Dean’ Contacts and Calendar in Outlook
  • Processes travel vouchers and travel expenses and requisitions for payment along with the Department Administrator
  • Processes entries for department procurement cards
  • Processes requests for educational materials, publications and supplies in the organizations online procurement program to assure that department has all supplies necessary to run efficiently
  • Coordinates vacations, various office tasks, and interviews applicants for open positions with the Department Administrator and make recommendations on hiring to the Vice President and Dean
  • Proofs/Edits all applications and correspondence prior to leaving office
  • Maintains communication with Vice President and Dean while out of the office, nationally and internationally 
  • Oversees all computer needs for department including installing software updates and new equipment purchases, requests new email addresses and server accounts for incoming employees and research assistants; notify ACC of staff changes to disable those accounts
  • Process time cards into TAS system when Department Administrator is out of office
  • Assists with planning & program implementation, attends meetings and conferences as directed
  • Answer telephone for department, resolving issues, responding to requests, or taking messages as warranted
  • Copies documents, reports, etc.
  • Travels to various locations, including on campus as needed
  • Notary Public duties as needed
  • Performs other duties as assigned

Qualifications

Bachelor’s degree plus three (3) of executive administrative office experience.  Computer experience in word processing, spreadsheets, graphics and database software is required. Fluency with Microsoft Office applications including Excel, Word, Access and PowerPoint.
