Overview

This position is part of the management team of the Department of Otolaryngology and will be responsible for supervising the operations of the Front Desk and Medical Receptionist staff

Responsibilities

Supervises front desk activity of Otolaryngology offices to include patient registration staff members and associated activates.

 

Continuously monitors employee performance and outcomes, in conjunction with the Department Administrator, to ensure the practice conforms to the EVMS Medical Group Quality Standards and other external quality indicators.

 

Maintains a customer-focused practice environment by acting as a role model for Medical Receptionist staff members.

 

Under direction from the Department Administrator implements policies regarding patient scheduling.

 

Works with the Department Administrator to resolve issues relating to physician appointment schedules.

Ensures that a response is made in a timely manner to all customer complaints relating to the practice’s operation and the Department Administrator is notified of all complaints.

Assists in the recruitment, selection, and work assignments of Medical Receptionist staff.

Assists in the evaluation of all personnel for whom there is direct responsibility.

Participate in EVMS Medical Group committees as requested to develop plans and procedures for improvement of practice support operations.

Plans and organizes, staffing, and work assignments to ensure patient needs are met in accordance with instructions of Administrator.

 

Consults with Physicians and Administrator on front desk issues and interpretation of departmental policies to ensure patient needs are met.

 

Directly supervises Medical Receptionist staff.  Carries out supervisory responsibilities in accordance with the medical school’s policies and applicable laws.

 

Assists with ordering of supplies of assigned clinic locations in accordance with Departmental budgets.

 

Maintains physician schedule templates within IDX scheduling system and updates physician templates according to physician availability.

 

Performs Medical Receptionist duties as needed to cover for staff shortages and lunch breaks.

 

Performs other duties as assigned.

Qualifications

Associate’s Degree plus three (3) years’ experience in a Medical Office environment required. Progressively more responsible positions in group practice management, in a large specialty group practice, preferred. Prior experience within the EVMS Medical Group strongly preferred.
