Overview

The CRC Recruitment Coordinator position of the Clinical Research Center is directly responsible for recruitment, advertising and marketing efforts of the Clinical Research Center, development of study-specific goals for enrollment, and suggesting financial plans to pay for recruitment and advertising efforts for upcoming studies. This person will also assist with CRC administrative duties.

Responsibilities

ADVERTISING/MARKETING/RECRUITMENT

  • Develops/creates new advertisements as required for recruitment efforts
  • Interacts with study coordinators on a weekly basis to determine recruitment needs
  • Develops plans for required advertising, and provides reports on results
  • Maintains the tracking mechanism used to follow patients from their initial call-in to final disposition
  • Arranges for advertisement of CRC’s activities and current studies through fliers, multimedia exposure, speaking engagements, seminars, and other mechanisms depending upon availability of funding
  • Develops marketing packages. (Community recruitment & Corporate)
  • Maintains files of all media sources utilized for advertising
  • Provides updates to CRC web site relating to new studies
  • Answers calls from recruitment hotline on a daily basis and enters names and other information in database for follow-up screening calls
  • Contacts potential study volunteers within 1 business day of their call to follow up and schedule appointments
  • Calls former study participants to alert them regarding new study opportunities
  • Answers screening calls in response to advertisements-generally within one working day after receipt of call, obtaining pertinent patient information and providing study overview to potential volunteers
  • Emails or mails out informed consent forms to potential study volunteers prior to their initial screening appointment
  • Attends recruiting meeting giving appropriate input as needed
  • Works closely with coordinators on studies to provide assistance as needed
  • Develops study-specific screening forms with coordinator input
  • Oversees contact of screen failures either by phone or mail with reason for exclusion from study
  • Provides general help as needed with all areas of recruitment process
  • Generates prospective volunteer list from existing database at the start of each study by using study-specific inclusion/exclusion criteria to query database
  • Handles all marketing aspects of the CRC by means of logistical arrangement of business shows, lectures, volunteer receptions, and other community events and ordering/purchasing all necessary supplies for these events

DATA:

  • Updates and maintains reports from study subject database
  • Creates advertising and/or any other reports as needed/requested by management
  • Performs basic statistical analyses from data files (range, average, median, max)
  • Assists staff with development of graphics for presentations
  • Updates CRC regarding patient requirements for new studies with recommendations on CRC’s ability to recruit in a timely manner from the database or whether additional sources for patients would need to be considered

 

REGULATORY/CONTRACTUAL: Responsible for assisting in the preparation and delivery of proposals for government funded research projects. Also suggests amount of advertising for each study.

 

  • Maintains familiarity with Office of Research and IRB SOP updates as needed
  • Re-certifies/trains as necessary (annually or otherwise) in all necessary training/certifications required by IRB
  • Assists Regulatory Person with routine filing as needed

 

ACCOUNTING/PURCHASING/ADMINISTRATIVE: Completes volunteer reimbursements & handles all office administrative supply orders & equipment maintenance, repair & purchase of any required equipment replacements or new equipment needed.

 

  • Inputs on OneSource Procure system requisitions for supplies and volunteer reimbursements to ensure that charges are made to the proper expense object code, grant number, and source code and that charges appear reasonable, allowable, allocable, are within budget, with proper authorized signatures and prior approval by funding sponsor as required by agreements
  • Reviews invoices as received from subcontractors and vendors for cost reimbursement
  • Initiates and tracks standing purchase orders and oversees monitoring of all maintenance agreements
  • Vendor account reconciliation and follow-up of charges as needed
  • Sign for and unload all office supplies delivered
  • Coordinate all annual & quarterly equipment inspections and maintenance visits

 

Performs other duties as assigned

 

 

Qualifications

Associate’s degree in marketing or related field. Three (3) years relevant experience.
