Overview

Oversees, manages, and is responsible for the daily activities related to the general business processing and project management of Family Medicine.

Responsibilities

Manage clinic redesign project – Clinic redesign with other stakeholders.

  1. Work with and brainstorm with stakeholders to formulate clear executable ideas from redesign break out session.
  2. Use Project management software to formulate the project in timelines with gant charts that include deliverable and timelines from each stakeholder.
  3. Stakeholder team member.
  4. Liaison with other department involved in the project
  5. Track and trend deliverables of the project

 

Manage department strategic plan project – Annual department planning meeting.

  1. Work with and brainstorm with stakeholders to formulate clear executable ideas. Attend annual strategic planning meeting as team member
  2. Use Project management software to formulate the project in timelines with gant charts that include deliverable and timelines from each stakeholder.
  3. Stakeholder team member.
  4. Liaison with other department involved in the project.
  5. Track and trend deliverables of the project

 

Manage community engagement project – Foster ongoing relationship with our community partners.

  1. Work with and brainstorm with stakeholders to formulate clear executable ideas
  2. Use Project management software to formulate the project in timelines with gant charts that include deliverable and timelines from each stakeholder.
  3. Stakeholder team member.
  4. Liaison with other department involved in the project
  5. Track and trend deliverables of the project

 

Manage strategic succession plan with the department chair.

  1. Work with and brainstorm with stakeholders to formulate clear executable ideas
  2. Use Project management software to formulate the project in timelines with gant charts that include deliverable and timelines from each stakeholder.
  3. Stakeholder team member.
  4. Liaison with other department involved in the project
  5. Track and trend deliverables of the project

 

Manage department grant activities – to include budget development and tracking and assist with reporting.

  1. Work with and brainstorm with stakeholders to formulate clear executable ideas. Resident research or quality projects. Assist with IRB proves when needed.
  2. Use Project management software to formulate the project in timelines with gant charts that include deliverable and timelines from each stakeholder.
  3. Stakeholder team member.
  4. Liaison with other department involved in the project
  5. Track and trend deliverables of the project

 

Coordinate faculty activities, including recruitment, appointments, promotions, credentialing, re- credentialing, and orientation.

 

Coordinate orientation of new faculty and employee’s specific to their departmental role.

 

    Coordinate credentialing of new faculty with EVMS, Sentara and CHKD.  Process all new appointments with Faculty affairs.

 

Maintain confidential files for all faculty and community faculty

 

Coordinate department function, including department meetings, retreats, special events, academic, ground rounds and staff meetings.   Coordinate requirements for various meetings to include the assignment of faculty, as well as assist with any coordination of attendees. Ensure AV equipment availability and set up for use by faculty members for presentations.  Take minutes for FM Department meetings and GFM Faculty meetings; provide food for meetings; create agenda, maintain and distribute yearly schedule for meetings to dept. personnel and faculty.

 

Coordinate Family Medicine Grand Rounds monthly GR: act as Liaison between Family Medicine and guest presenters.  Liaison with CME office, distribute schedule to faculty, residents, students and other interested parties. Send out thank you letters to presenters and summary of evaluations.

 

Liaison with Communications Department and Media Department to ensure faculty telephone, polycom and internet lines are set up and functioning.

 

Provides high quality personal assistant to the current chairs and department administrator daily duties, to include scheduling and travel planning.

 

Maintain and order keys and maintain building access log and name plates for rooms. Perform other duties as assigned.

Qualifications

Bachelor’s degree, project management experience, proficient with Microsoft applications, plus two (2) years of administrative experience.  CAPM and Master’s preferred.
