Provide leadership to plan, organize and manage all of the activities related to student records and registration, including serving as the official authorized custodian of the school’s student records. Responsible for the compilation and maintenance of student records in compliance with federal law, state law, and accreditation agencies. This position is responsible for all FERPA related requirements.




  1. Attend the Annual AACRO meetings.
  2. Participate on Committees – Student Progress, New Student Orientation/VZ, Graduation and Testing/Evaluation.
  3. Work with Office of General Counsel in preparing affiliation agreements.
  4. Attend Webinars and/or conferences related to FERPA compliance.
  5. Send out Annual Notice to all students as required by FERPA.
  6. Perform random audits on all programs for accuracy of clerkships, elective rotations, grades and FERPA documentation.
  7. Perform random audits in oracle for Directory Information Holds (i.e. e-mail addresses on public web site).
  8. Ad hoc reporting and confirmations.
  9. Process all MD student NBME verifications to take Step 1, Step 2 CK, and Step 2 CS.
  10. Register all visiting medical and HP students.
  11. Work with the graduation committee staff. Assist with preparation of graduation program and student graduation invitations.
  12. Work with the new student orientation staff.
  13. Review final transcript for accuracy to confirm degree completion for all EVMS programs.
  14. Oversee all student and alumni records (management of processes and services); certify student status and privileges (ID, parking, and e-mail), state residency, veteran’s status.
  15.  Responsible for class registration, assigning classroom space and updating student records.
  16. Certify that all graduation requirements have been met.
  17. Factual accuracy of all diplomas.
  18. Certify students achieving goals such as Dean’s list, AOA, etc.
  19. Familiar with all of the legal and regulatory requirements including FERPA.
  20. Responsible for designing and processing institutional reports, as needed.
  21. Acts a Notary Public.
  22. Performs other duties as required.


Primary individual responsible for developing budget recommendations and monitoring expenses against the budget. Shares responsibility in the approval of department budget.


Bachelor’s degree or equivalent experience, plus 7 years relevant experience or MS and 3 years of relevant experience.  Must be proficient in MS Office.


Notary to be obtained within 6 months of employment.
