Responsible for providing high quality reception services to patients and visitors. Responsible for answering the telephone in a courteous and professional manner, scanning pertinent patient data into the electronic medical record, checking patients in and out, verifying patient insurance and referrals, collecting payments and scheduling appointments. Patient confidentiality must be maintained at all times.
Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries. Also responsible for taking messages and tasking appropriate parties, paging doctors when appropriate.
Schedule appointments with doctors, calls patients to remind and confirm appointments; reschedules patients from the bump list, and schedules residents’ clinics where appropriate.
Check the electronic medical record for referrals and authorization prior to visit.
Greet patients in a courteous manner, arrives patients in IDX and the electronic medical record, and notifies nurses/medical assistants/MDs of arrivals, if necessary.
Register established and new patients, verifies demographics and insurance, and scans all pertinent information into Allscripts.
Check-in and check-out patients, obtains referrals, when appropriately trained and directed, and schedules outside appointments with specialists.
Ensure availability of treatment information by scanning in faxed patient records, Rx requests, referrals, and lab reports.
Maintain patient accounts by obtaining co-payments, self pay, and cosmetic fees at the time of service and recording payments in IDX.
Prepare daily batched in accordance with EVMS Medical Group cash handling policy and sends to EVMS Medical Group for deposit.
Maintain business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; notifying office manager or Administrative Assistant as supplies are needed.
Maintain No-Show log and calls patients to reschedule appointments. Sends reminder notices/termination notices per department policy.
Check and answer tasks that are directly assigned to personal folder, Derm Reception folder, Derm Print Documents.
Mail/call patients to remind of needed appointments (6 month and 1yr total skin exams)
Help patients in distress by responding to emergencies.
Protect patients' rights by maintaining confidentiality of personal and financial information.
Maintain operations by following policies and procedures; reporting needed changes.
Contribute to team the effort by participating in training, staff meeting, and assigned in-services.
OTHER DUTIES AND RESPONSIBILITES
Give directions to patients and visitors.
Maintain order in reception room.
Perform other duties as assigned, according to the individual departmental needs.
High school diploma plus one year experience performing related functions in a doctor’s office required. Must have extensive working knowledge of computers, typing experience and word processing. Professional, customer service-oriented individual who can multi-task, has astute attention to detail, is flexible, and quality focused is required.
