  • Overview

    This position is responsible for managing and facilitating the EVMS accreditation process (mainly LCME and SACS/QEP), coordinating communications from the Office of Academic Affairs and coordinating major academic events for the School of Medicine.

    Responsibilities

    Coordinate accreditation (primarily LCME and SACS/ QEP) in collaboration with the Office of Strategic Planning and Institutional Effectiveness (for this responsibility the position will also report to the Vice Provost of Faculty Affairs and Institutional Effectiveness).

    • Acts as liaison between the OSPIE and the consultants, accreditation agencies and any individuals that are contributing to the accreditation process
    • Acts as the primary point of contact for the site visit, during the site visit, and after the site visit
    • Organizes site visit preparation activities of reviewers (meeting space, hotel, food, AV, etc.)
    • Coordinates meetings with various teams to review standards, prepares minutes and keeps track of suggested changes
    • Organizes the mock visit (meeting space, hotel, food, AV, etc.) and keeps track of suggested changes; communicates changes to responsible teams
    • Coordinates meetings and retreats with  internal and external stakeholders for development of QEP
    • Maintains documentation related to accreditation requirements, including status reports for LCME standards as well as LCME Annual Medical Student Questionnaire Part II
    • Provides administrative support to the QEP director who will be leading this program
      • Schedule and facilitate regular meetings with the QEP team
      • Develop and implement a communications plan to ensure that all relevant parties (e.g., staff, director, community leaders etc) are kept apprised of the progress
      • Develop and maintain database of documents that demonstrate conformity to accreditation standards and measures

     

    Coordinate communications from within the office of Academic Affairs

    • Coordinate  communicators outside of Academic Affairs who write on the VDAA’s behalf
    • Coordinate messaging:  quotes, kudos notes, letters of recommendation for major awards
    • Coordinate with EVMS Marketing and Communications on messages with an external component
    • Coordinate  content for the EVMS Magazine, review and advise on potential story ideas, comment on final proof of each issue
    • Oversee preparation of presentations and major meetings, including directing others in the gathering of data and information, i.e. Board of Visitors and State of the School

     

    Coordinate major events including (Coordinate Academic events and activities for the School of Medicine with Special Events Planning team)

    • Mock Interviews
    • Match Day
    • Appreciation events for Academic Affairs staff
    • Coordination with Event Planning team (EVMS Development) executing major events

     Performs other duties as assigned.

    Qualifications

    Bachelor’s degree in Education, Administration, Business Management or in related field (Masters Preferred).  

    Three years’ experience with accreditation, licensing, or other administrative departments in higher education. Must be proficient with MS Office (particularly Outlook, Excel and PowerPoint)
