  • Overview

    Responsible for the planning, organization, direction and coordination of EVMS Ophthalmology clinical practice operations within the EVMS Sentara Lions Sight Center. Responsibilities include monitoring daily practice support functions, customer service for departmental and sight center issues, and acting as a liaison between community faculty staff and the chairman.  Oversee the department’s billing and collection operation encompassing medical coding, charge submission, review of denials, bad debt, accounts receivable follow up, reimbursement management, staff and provider education



    • Manages the daily practice operation of the Department’s primary clinical location at the EVMS Sentara Lions Sight Center. Coordinates and schedules community faculty support staff to ensure that operations are efficient and conform to EVMS Medical Group Quality Standards and all applicable federal, state and local laws and regulations.
    • Directly supervise the day to day functioning of the Residency Coordinator, and facilitate activities between the Coordinator and the Chairman.
    • Oversee the eye clinic schedules of the faculty, created by the Residency Coordinator, to ensure accuracy and adequate supervision of resident clinical staff.
    • Oversee the annual recruitment process for residents.
    • Ensure adequate staff training seminars for any new equipment that is added to the clinic.
    • Maintains a patient-centered clinical practice environment conducive to staff and providers individuality and creativity as well as responsibility. Provides feedback opportunity for patients, staff, and faculty. 
    • Provides staff (EVMS, EVMS Medical Group, Sentara, Community Faculty and clinical Residents) with clear expectations of their responsibilities and encourages their participation in problem solving. Conducts annual performance evaluations for all faculty, and reports results to the Chair.
    • Partners with the Sentara clinical manager on topics related to clinic efficiency, staffing, schedules and patient satisfaction.
    • Provides overall supervision of staff and oversight of all aspects of operations including customer service, budget, risk management, and compliance with organizational and clinical care policies, regulations and standards of care.
    • Conduct research and best practice analysis related to operational activities
    • Ensure preparation of agendas, reports, memos, letters and other written communication on behalf of the Chairman.
    • Schedules, organizes, attends and takes minutes at department meetings.
    • Manages and coordinates the day to day activities of office flow, billing, and coding, along with adherence to quality measure documentation.
    • Develops, maintains, and monitors the annual EVMS Medical Group and EVMS budget with oversight from the Chair. Reviews and analyzes the revenue, expense and collection trends for the practice on a monthly basis and reports findings to Chair.
    • Monitors clinical productivity; tracks monthly statistics and prepares reports for EVMS Medicla Group and the department.
    • Coordinates efforts to assess and improve the quality of clinical activities and support operations of the practice.
    • Participates in the EVMS Medical GroupPractice Management Committee and Strategic Management Committee, and other committee as requested to develop plans and procedures for improvement of patient care and practice support operations. 
    • Develop and implement a work flow to ensure adherence to EVMS Medical GroupService Rounding initiative; reporting actionable items to Chairman and EVMS Medical Group. Monitor work flow involving integration between Sentara and EVMS/EVMS Medical Group within the Sight Center. 
    • Report possible interventions and changes to support our clinical mission, best practices and efficiency to the Chair.
    • Coordination of development efforts for the department, including preparation of financial reports for donors and newsletters for the faculty and alumni.
    • Management of special projects as directed by the Chair.
    • Accurately record and submit all Medical Director Activities performed by the Chair on a monthly basis.
    • Maintain the calendar and scheduling for the Department Chair
    • Maintain accurate faculty files, appointments and promotions, and act as a liaison between the Faculty Affairs office and the Department.
    • Function as the department’s expert and go to person for all coding, compliance and billing processes information, and education
    • Analyze billing data and reports for accuracy and completeness of claims filed
    • Act as central point of contact for EVMS Medical Group billing office
    • Oversee and monitor the department’s claim follow up process
    • Work closely with the Sight Center Office Manager in  reviewing front desk operations and collection of insurance and demographic information to ensure accurate billing information
    • Prepare and participate in chart and billing audits as requested.
    • Analyze billing trend reports in concert with the Chairman
    • Develop, implement, and review departmental billing policies and procedures
    • Collect and compile accurate billing statistical reports
    • Ensure billing operations compliance with EVMS Medical group, Federal, State, and payer regulations, guidelines, and requirements
    • Research all billing and collection aspects of new service lines
    • Remain up to date with carrier rule changes; educating and distributing the information to staff and providers.
    • Performs other duties as assigned


    Bachelor’s degree. One year of relevant experience preferred. Master’s degree preferred. Must be proficient with MS Outlook. Must be skilled in the use of MS Word and Excel. Familiarity with MS PowerPoint highly desired.
