Overview

This position is an integral part of the financial aid team, providing service to visitors, callers and responding to written inquiries via email.  The coordinator triages office traffic to ensure that constituents are sent to the appropriate personnel for assistance.  

     

Responsibilities

Import ISIR & COD information from CPS via EdConnect and assist with import into Financial Aid Management System (FAM)

 

Use student information system to correspond with students via email according to scheduled communications (i.e., welcome letter, missing information, missing loan steps, award acceptance, aid release)

 

Import and maintain the Hyland OnBase system by setting up, importing and indexing confidential student documents. Maintains student records annually:  create new student folders within the system; arrange archival of appropriate records; arrange shredding of outdated records according to schedule.

 

Assist with website maintenance

  • Attend training, as required
  • Create and update individual pages
  • Upload and update documents

  

Provide outstanding customer service to all constituents (i.e., prospects, applicants, students, coworkers, outside agencies)

First point of contact for all constituents:

  • Schedule appointments;
  • Track visitor log, maintain all information by office;
  • Answer and triage telephone calls, responding or directing as appropriate;
  • Clear and distribute voice mail messages;
  • Open and distribute mail;
  • Receive and send fax information;
  • Respond to or distribute emails from finaid@evms.edu mailbox as well as assigned office email;

Perform Other duties as assigned by supervisor (s)

Qualifications

Prior administrative experience is preferred. Ideal candidate is Proficient in Microsoft Office with emphasis in Excel and power point applications.  Must be able to secure National Student Loan Data System (NSLDS) access.  Ability to learn new computer applications/systems such as Campus Nexus Student, Banner, Hyland OnBase and purchase order system.  Ability to conduct internet based research on requested topics. Ability to understand and disseminate general knowledge of financial aid requirements and processes.  Ability to understand general FERPA (privacy) requirements and responsibilities.
