Overview

This position is responsible for providing administrative support to the Office of Diversity and Inclusion by handling all procurement and purchasing for multiple programs. It provides procurement and financial administrative services, including but not limited to, ordering services and supplies, assistance with budget monitoring, travel reconciliation, and input into budget development, as needed. May serve as administrative support back for the Executive Assistant from time to time based on operational needs of the department and assigned program initiatives.

Responsibilities

  • Manage all P-card transactions for the Office of Diversity and Inclusion and assigned programs. Applicants must be aware of all rules and policies regarding P-card transactions.
  • Manage all Chrome River transactions for the Office of Diversity and Inclusion and assigned programs. Applicants must be aware of all rules and policies regarding Chrome River transactions.
  • Manage all Virginia Procurement Portal (eVa) transactions for the Office of Diversity and Inclusion and assigned programs. Applicants must be aware of all rules and policies regarding eVa.
  • Manage all requested Banner transactions for the Office of Diversity and Inclusion and assigned programs. Applicants must be aware of all rules and policies regarding the Banner system.
  • Manage department’s financial transactions required of assigned programs involving other University platforms.
  • Acts as back up to Executive Assistant when needed
  • Assist with planning for each academic year.
  • Performs other duties as assigned.

Qualifications

Candidate must have previous secretarial/ administrative work experience in an office setting.  Experience in an Academic setting is preferred. Must have proficient computer skills and be able to learn new software applications.  Basic decision-making skills, as well as math skills, use of a calculator, Microsoft Office, Microsoft Excel, typing, and telephone skills required. Must be self-motivated, able to set goals and distinguish priorities. The division is funded by multiple grants and attention to detail is critical program/grant compliance.
