Overview

The Administrative Support role for the Healthcare Office of Transformation is responsible for providing essential administrative and operational support to ensure the smooth functioning of the healthcare transformation initiatives. This is a part time position that will involve coordinating meetings, managing schedules, handling communications, maintaining records, and assisting with project management activities. The individual in this role will work closely with clinical departments and team members within the Office of Transformation to support the execution of strategic transformation projects, process improvements, and organizational change efforts. 

Responsibilities

  1. Administrative Support & Coordination: 
  • Provide comprehensive administrative support to the Office of Transformation team. 
  • Manage calendars, schedule meetings, coordinate appointments, and prepare slide decks and agendas for transformation-related meetings. 
  • Organize and maintain files, both physical and digital, ensuring proper documentation for transformation initiatives. 
  • Assist in the preparation and distribution of reports, presentations, and other documents as needed for transformation projects. 
  1. Project Assistance: 
  • Assist with tracking and reporting the progress of healthcare transformation projects, ensuring timely completion of deliverables. 
  • Help organize and coordinate activities related to project milestones, timelines, and action items. 
  • Support the collection of data and assist in the preparation of progress reports or status updates for internal stakeholders. 
  • Monitor deadlines and send reminders to stakeholders to ensure project timelines are met. 
  1. Communication & Stakeholder Liaison: 
  • Serve as the first point of contact for internal and external stakeholders involved in transformation initiatives. 
  • Manage and prioritize incoming communications such as emails, calls, and requests from stakeholders, ensuring timely and professional responses. 
  • Coordinate communications and updates between team members, leadership, and external parties involved in transformation efforts. 
  1. Document Management: 
  • Organize and maintain accurate and up-to-date documentation related to healthcare transformation projects, including meeting minutes, project plans, and communications. 
  • Prepare and organize materials for workshops, training sessions, and presentations related to transformation projects. 

 

  1. Reporting: 
  • Assist with compiling reports and preparing presentations for leadership and stakeholders. 
  • Help ensure that data is accurate and up-to-date to support the evaluation of healthcare transformation efforts. 
  1. Support Change Management Efforts: 
  • Assist, as directed, in the communication and dissemination of changes related to transformation initiatives within the organization. 
  • Provide support in helping staff and teams understand and adapt to transformation processes

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or a related field preferred. 
  • Prior years of experience in an administrative or support role within a healthcare setting, ideally in a transformation or change management context. 
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines. 
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools. 
  • Excellent communication skills, both verbal and written, with a professional demeanor and ability to interact with stakeholders at all levels. 
  • Ability to handle confidential information with discretion and integrity. 
  • Experience with project management tools. 
  • A proactive, self-starter with a flexible, adaptable mindset and the ability to work independently or as part of a team. 
  • Strong problem-solving skills, with the ability to troubleshoot issues and work effectively under pressure.
