Overview

The HR Assistant will be responsible for providing administrative support for all Human Resources functions of the VHS office. 

Responsibilities

Answer multi-line telephone, routing calls to appropriate coworker, taking messages when needed

Assisting callers by answering general questions and providing general information regarding policies/processes

Greet and assist visitors (employees and the public)

Mandate the VHSHR email box

Completes employment verification requests

Provide administrative support to the department

Open and route daily mail and faxes for the HR department

Pay invoices using Eva

Order supplies for the department

Scan and file processed items into BDM

Update cash journals for credit card sales (this includes cash handling also for replacement ID badges and HRT Go passes)

Assists with the VHS volunteer process

Performs other duties as assigned

 

ID Badges

Issue ID badges to new employees, students, volunteers, temporaries, residents, visitors, etc.

Track and order needed supplies as it relates to ID badges

Go to various locations on campus to take ID badges for students (i.e. student orientation)

Responsible for coordinating student orientation badging

Forward ID pictures in a jpeg format to departments who request photos of their students, residents, employees, or faculty members

Import jpeg files into the ID system to create badges for out of area new hires and/or residents

Create new ID badge templates as needed

Create spreadsheets with instructions for new ID badge templates

Log any IDs that need reprinting due to loss/theft, printer errors, typos, or changes

Qualifications

Intermediate to expert level of experience in Microsoft Outlook, Word, and Excel.  Strong customer service skills.  Detail Oriented.
