Overview

Under the supervision of the director of student engagement, the person filling this position will provide staff support for work with community partners, volunteers, students and staff to assist with the coordination of the EVMS Health Sciences Academy

Responsibilities

Coordination:

  • Room reservations and completing all Events Team Requirements (materials management, housekeeping, and room layout needs)
  • Send out invites and save the dates
  • Order and pick up linens, printouts, and other required materials
  • Order gifts and awards
  • Assist with event set up and breakdown
  • Prepare materials for session facilitation and speakers
  • Provide on-site support for Health Sciences Academy activities and initiatives as needed

 

Equipment:

  • Ensure technology is always charged and up to date
  • Process annual and one-time requisitions
  • Inventory management and scheduling
  • Maintain log of equipment use

 

 

Volunteer Supervision:

  • Provide supervision, instruction and ongoing assistance to program volunteers
  • Facilitate and lead assigned groups and activities as needed
  • Maintain communication with volunteers including changes to schedule (venue, time, etc.)
  • Interact and correspond with EVMS student volunteers on service entry deadlines, upcoming deadlines and necessary reminders

 

 

Project management:

  • Work on multiple complex projects, demonstrating strong project management and organizational skills, including documenting project scope, course architecture, storyboards, and project plans
  • Develop and manage a timeline for the review of course templates prior to template deployments through the AIS

 

Other:

Performs other duties as assigned

 

Qualifications

High School Graduate. Must have some college level coursework completed. Bachelor’s Degree and experience in administrative support is preferred, but not required. Computer experience including word processing and spreadsheets required

  • Excellent oral and written communication skills.
  • Ability to communicate and collaborate with peers.
  • Flexibility and ability to handle competing priorities.
  • Strong planning, time management and organizational skills
  • Must be a self-starter and capable of working with little direct supervision.
  • Proficiency with Microsoft Excel and PowerPoint.
