Overview

The SCSIL Event Manager coordinates the daily logistics of events and activities of the Center – both standardized patient (SP) and simulation technology events (occurring both on and off campus).

Primary responsibilities include:

  • assisting the Associate Director in preparing and managing both on and off-site events,
  • coordinating scheduling of all personnel, faculty, facilities, and equipment for events,
  • monitoring quality assurance of both on and off-site events, facilitating mutual communication among staff, clients and the public, and promoting morale and good working relationships among all staff in the Center.

Responsibilities

Coordinate the daily standardized patient (SP) and simulation technology activities of the Center.

 

Assists with operation plans and assignments to achieve adequate and appropriate staffing for workflow needs and to meet deadlines for specific event requirements and make adjustments to compensate for staff absences and other disruptions.

 

Communicates with the Logistics Manager, Senior Simulation Technology Manager, and Directors as necessary.

 

Enlist, train, assign duties to, and evaluate event administrators (EAs) and other support personnel.

 

Provide reports of event issues and problems to Senior SP Educators, Senior Simulation Technician Manager, and Associate Director.

 

Coordination:

  • Scheduling of personnel, facilities, and equipment for daily events,
  • Needs related to schedules or special programs, and,
  • Critical staffing needs, concerns, or inquiries related to Center events.

Administration:

  • Coordinate with Logistics Manager and SP Educators regarding daily operational activities and needs.   
  • Maintain Center personnel scheduling and payroll software systems.
  • Co-manage Center learning management and cloud-based repository software systems.
  • Monitor and ensure preparations occur for all off-site events.
  • Implement programs for team building and continued communication SPs in conjunction with SP educators
  • Assist the Associate Director with monitoring day–to-day staff operations and performance.

Provide direct oversight of Administrative Support Coordinator and Event Administrators.

 

Performs other duties as assigned.

Qualifications

Prior experience in an educational institution is a plus

Experience in clinical skills, healthcare simulation, and/or SP methodology

Require a working knowledge of Microsoft Office.

Ability to read and interpret documents such as safety rules, operation and maintenance instructions and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of employees of the medical school.
