Overview

The Center Logistics Manager is responsible for managing the team and process critical to scheduling staff, faculty, space, learners, and associated internal and external assets and activities to meet the various curricula, educational programs, and projects performed at the Center and on campus, or by personnel at remote or client locations. 

Responsibilities

Responsible for logistical scheduling and coordination for a variety of Center functions, typically both local and remote training and educational programs and activities. The Center develops and delivers several on- and off-site educational based education and training programs and activities that require personnel, space, and equipment resources.  These include:

  • Human Simulation Programs: Standardized Patient (SP), Physical Exam Teaching Associate (PTA). Gynecological Teaching Associate (GTA), Male Urological Teaching Associate (MUTA)
  • Device-based simulation training and education programs.
  • Hybrid simulation programs.
  • Tidewater Center for Life Support:
    • American Heart Association Advanced Cardiac Life Support (ACLS), Pediatric Advanced Life Support (PALS), Advanced Stroke Life Support (ASLS), Basic Life Support (BLS), and Heartsaver programs.
    • American College of Surgeons Advanced Trauma Life Support (ATLS) program.
    • Other life support oriented educational programs developed and/or conducted by the Center.
  • The Graduate Medical Education events.
  • External client events, both local and off-site.
  • Other programs/events as required.

 

Manage Administrative Support Coordinator – Logistics in the conduct of their duties.

Utilize the below listed systems, as well as e-mail, Slack, telephone, voicemail, and SMS/text, to accomplish required scheduling and communication activities. (Training will be provided.)

  • Shiftboard, a web-based personnel scheduling platform.
  • Elevate Healthcare Learning Space, a web-based learning management system; and,
  • Simulation Information Management System (SIMS) program, a unique web-based program for simulation based medical education and training.
  • Microsoft Office suite of tools.

Manage conduct of other logistical office tasks, such as:

  • Assist with payroll activities
  • Maintain and cultivate a working understanding of the capabilities required by staff and faculty to support the on-site and off-site training and educational programs and activities.
  • Maintain and cultivate a working knowledge of the resource footprint/needs of the various training and education activities at the Center.
  • Capture, report, and maintain attendance of Center transient staff at Center training, execution, and other events as needed.
  • Participate in and occasionally lead various daily and weekly meetings, to include stand-up, calendar reviews, team deep-dive, and other Center meetings.

Coordinate attendance with the Associate Director to ensure complete coverage of daily/weekly activities.

Communicate promptly and professionally, both orally and in writing; in particular, communicate event staffing status in a timely and accurate fashion.

Support general Center functions when and if requested.

Perform other duties as assigned.

Qualifications

Minimim Qualifications: 

  • At least three years’ experience working in business or health care environment.
  • This staff member needs to be: detail‐oriented, flexible, self‐motivated, and self‐directed; able to meet deadlines; a team player with good problem‐solving skills; and willing and able to learn new technologies.
  • Ability to read and interpret documents such as EVMS policies, forms, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively in one-on-one and small group situations with students, faculty, EVMS employees and external clientele.
  • Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.
  • Ability to compute rate, ratio and percent.
  • Experience in Microsoft Office tools required.
  • Applicant must have proficiency working with basic computer hardware equipment and software applications relevant to scheduling and general troubleshooting; and, be proficient in the Windows operating system.

Preferred Qualifications: 

  • Associate degree preferred.
  • Experience working in an academic healthcare simulation center environment.
