Overview

The Medical Assistant Lead for the Facial Plastics Division provides advanced clinical and administrative support while serving as a team leader and resource for medical assistants. This role ensures efficient clinic operations, high-quality patient care, adherence to clinical standards, and exceptional patient experience within a specialized otolaryngology facial plastics practice.

Responsibilities

  • Coordinate clinic flow to optimize provider schedules, patient throughput, and room utilization. Support scheduling, pre-authorization coordination, and surgical documentation processes. Ensure accurate and timely documentation in the electronic health record (EHR), including procedure notes, consents, and photographs.
  • Monitor inventory of clinical supplies, injectables, and equipment; assist with ordering and stock management.
  • Prepare patients for examinations, in-office procedures, and minor surgical interventions related to facial plastics (i.e., injectables, laser treatments, biopsies). Assist physicians with facial plastics procedures, including sterile setup, instrument handling, accurately managing and handling specimens for laboratory analysis, and post-procedure care.
  • Perform clinical tasks within the medical assistant’s scope of practice, including vital signs, intake documentation, plan of care, diagnostic reporting, rooming patients, cleaning of patient rooms and instruments after use, medication reconciliation, and patient education. Provide pre- and post-procedure instructions, reinforcing provider guidance and addressing patient questions.
  • Actively monitor and respond timely to patient care requests. Obtain and manage clinical photographs per facial plastics standards and protocols.
  • Maintains current knowledge of evidence-based treatment techniques, available services, and product advancements to provide accurate, informed, and professional recommendations to clients.
  • Ability to lead, coach, and support a team in a fast-paced clinical environment.

Qualifications

Required:

  • Working knowledge of medical assisting practices in an outpatient clinical setting
  • Understanding of ENT and/or surgical clinical workflows
  • Ability to lead, coach, and support a team in a fast-paced clinical environment
  • Strong organizational skills with attention to detail and accuracy
  • Effective verbal and written communication skills
  • Proficiency with EHR systems and basic office software
  • Current, active Medical Assistant Certification
  • BLS Certification
  • Graduate of an accredited Medical Assistant program required
  • Current Medical Assistant certification (CMA, RMA, or equivalent) required
  • Prior experience in a specialty practice (ENT, dermatology, plastics, or surgery) preferred but not required for minimum entry

Preferred:

  • Additional training or certification related to cosmetic procedures, surgical assisting, or clinical leadership
  • Advanced knowledge of facial plastics, cosmetics, or procedural-based clinical workflows
  • Demonstrated leadership in a clinical setting
  • Strong problem-solving skills with the ability to manage competing priorities
  • High level of professionalism, discretion, and patient-centered care approach
  • Prior experience in otolaryngology, facial plastics, dermatology, or cosmetic surgery strongly preferred
