Overview

The Department of OBGYN at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding Medical Receptionist to join the team.

 

This position is responsible for registration of patients at the Department of OB/GYN Princess Anne Maternal Fetal Medicine, OB Generalist, Advanced Gynecological Surgery and Urogynecology office. Includes Medical Records duties as assigned.

Responsibilities

  • Check in and register patients.
  • Confirm and update patient registration information at each visit.
  • Scan insurance card and picture ID into EMR system at each visit.
  • Collect all co-pays and payments and complete cash journals daily.
  • Invite patients to patient portal (Sentara MyChart) and update status in the EHR
  • Collect FMLA paperwork, payment, and update the corresponding log.
  • Answering telephone in accordance with Medical Group Standards.
  • Communicating with patients regarding self-pay agreements
  • Complete EHR tasks in accordance with Medical Group and Department Standards.
  • Schedule patient appointments in accordance with EVMS Medical Group and Department Standards.

Medical Records:

  • Prepare charts for services 2 days prior to service date.
  • Provide correct labels for charts.
  • Maintain Medical Records Release Log
  • Maintain Medical Records Request Log
  • Monitor and respond to medical records requests via voicemails messages, Sentara MyChart, or fax requests.
  • Scan documents into appropriate charts daily.
  • Responds to Release of Information requests in accordance with the Medical Group HIPAA Compliance Policies.
  • Check Medical Records tasks in accordance with Medical Group Standards.
  • Compliance with Policies and Procedures within the Department of Maternal Fetal Medicine, OB/GYN, and EVMS Policies and Procedures.

 

  • Obtain authorizations and referrals from referring physician’s offices.
  • Scheduling of incoming referrals in a timely manner.

Qualifications

Minimum Qualifications and Skills:

  • Professional, customer service-oriented individual is required.

Preferred Qualifications:

  • One (1) year office/clerical experience preferred.
  • Experience performing related functions in a medical practice is preferred. Previous front desk customer service experience will be considered.
