Overview

The medical receptionist serves as the first point of contact for patients in a busy Facial Plastic surgery practice. This role requires a professional, customer-service oriented individual who ensures welcoming and efficient front office experience. Responsibilities include, greeting patients, checking in and checking out patients, scheduling new consultations, follow up appointments, coordinating incoming referrals, collecting payments, product sales. Must be organized, detail-oriented and maintain high level of patient care and confidentiality.

Responsibilities

  • Scheduling incoming referrals, updating insurance information and patient demographics. Scheduling all new consultations and follow-up appointments. Confirm appointments when patients call to verify appointment date, time and location.
  • Greet patients in a professional friendly manner, collect co-payments, surgical fees, product sales, and balances. Process credit card, cash and financial transactions. Answer all phone calls, respond to patient inquires, and transfer to appropriate departments. Document all encounters and takes phone messages when needed.
  • Verify demographics, insurance, and required documents are up to date when checking in a patient for their office visits. Ensuring all intake forms are completed accurately.
  • Prepare front office for daily operations. Ensuring waiting area is clean and organized. Confirm coffee station is stocked and tidy, turn on TV. Ensuring all patient charts are prepared and ready for the day. Maintain organized front desk and patient records.
  • Supports clinical team with front office coordination needs and rescheduling of patient appointments and clinics when changes are presented.

Qualifications

Minimum Qualifications and Skills:

  • Strong customer service and interpersonal communication skills.
  • Professional demeanor and appearance, ability to multitask in a fast-paced clinical environment.
  • Attention to detail and accuracy.
  • Experience collecting co-payments.
  • Comfortable answering phones and ability to maintain patient confidentiality (HIPPA Compliance).

Preferred Qualifications:

  • Proficient in EPIC
  • Excellent organizational and time management skills
  • Team-oriented with the ability to work independently.
