Overview

The School of Health Professions at Macon & Joan Brock Virginia Health Sciences at Old Dominion University is seeking an outstanding Student Program Administrative Coordinator to join the team.

 

This position will support the PA Program Director and Clinical Director to plan, organize, administer, implement and develop the Physician Assistant Program in the clinical phase of the program. This position requires a proactive ability to strategically assess and manage the operational components of the clinical year and supervise the delegation of work relating to clinical rotations.

Responsibilities

Provide Administrative and Communication Support
Manage office communications, prepare correspondence and reports, maintain records, and facilitate effective communication among students, faculty, clinical sites, and preceptors.

 

Coordinate Clinical Rotation Placements and Requirements
Organize student clinical placements, maintain rotation schedules, secure site information, and ensure completion of all pre-placement requirements.

 

Maintain and Manage Clinical Education Data Systems and Databases
Create and maintain Excel databases for each clinical year, enter and update student, preceptor, and site information within clinical management software, and ensure data accuracy, organization, and compliance with program requirements.

 

Monitor Student Progress, Evaluations, and Assessments
Track student activity logs, case logs, time tracking, evaluations, and examination processes; generate reports to support program evaluation, planning, and accreditation.

 

Support Program Operations and Development
Assist faculty with data collection, policy maintenance, protocol development, preceptor orientation, and initiatives that support continuous program improvement.

 

Resolve Issues and Ensure Efficient Program Functioning
Respond to concerns from students, preceptors, and clinical sites; analyze and improve workflows

 

Provide Committee and Governance Support
Participate in and provide administrative support for program committees, including scheduling meetings, preparing materials, maintaining records, and assisting with committee-related projects and initiatives.

 

Perform Additional Duties as assigned to Support Program Objectives

Qualifications

Minimum Qualifications and Skills:

  • Ability to develop and maintain effective relationships with public, partners, customers, and co-workers; while working cooperatively and effectively with others to achieve common goals.
  • Ability to manage time and resources to ensure assignments are completed accurately and deadlines are met. Meets attendance/punctuality requirements.
  • Ability to adapt to changing work environments, work priorities, and organizational needs with enthusiasm and energy. Takes independent action to address and resolve problems.
  • Ability to express ideas effectively and demonstrate sound judgment with regard to decision-making.
  • Ability to deal with others in a direct honest manner and comply with all ODU policies and procedures.
  • Ability to apply concepts of basic algebra and statistical analysis.
  • Must be self-motivated, able to set goals and distinguish priorities.
  • Must have computer skills including Microsoft Office.

 

Preferred Qualifications:

  • Two (2) years of multi-tasked work experience.
  • Previous experience in an Academic setting is preferred.
